The short answer
An apology that fixes things rather than adding anger has four parts: a clear apology without a long excuse, what happened in one sentence, what you will do now and when, and a way to reach you if needed. Send it before the customer asks if you learn of the problem first; an apology that comes before the complaint prevents it. This page has ready models for the commonest situations: a late shipment, an out-of-stock product, a wrong order, a price error, a late reply and a cancelled appointment.

The four parts of an apology
| Part | Example | What to avoid |
|---|---|---|
| A clear apology | “We apologise for your late order” | “We regret any inconvenience that may have occurred” |
| What happened, in a sentence | “The courier was late collecting it” | A paragraph on market conditions and pressure |
| The fix and its time | “It reaches you Thursday, shipping on us” | “We will do our best” |
| A way to reach you | “Reply to this message with any question” | Another number or an email nobody answers |

We apologise for the outage of [service] from [time] to [time]. It is working again now; if your order was affected, tell us and we will fix it.
Fewer apologies: what stops the problem first
Most store apologies come from three causes: an order shipped with an incomplete address or to a customer who was not serious, a question left for hours with no reply, and staff writing the same information ten different ways. Each has a cure: confirming every order on WhatsApp before shipping, an AI agent that answers at once and hands to a person what needs one, and quick replies the team writes once.
To apologise for a delay to a customer who has not written in over 24 hours, only an approved template arrives. A message about their order status with no offer is classed Utility; add a discount code and it becomes Marketing.
Frequently asked questions
Should I apologise before the customer complains?
Yes, if you learn of the problem first, such as a courier delay or an out-of-stock product. A customer who hears it from you appreciates it; one who finds out alone feels you hid it.
Should I offer compensation in the apology?
If the mistake is yours and deserves it: free shipping, a discount on this order, or a small gift. What matters is that what you offer is something you can deliver at once, not an open promise.
What is the difference between an apology and an excuse?
An apology starts with the customer: “we apologise for your late order”. An excuse starts with you: “due to heavy demand and shipping conditions…”. Give the reason in one sentence if needed, then move to the fix.
What if the customer is very angry?
