Customer-service software for Arabic stores: what you actually need

7 min read Updated 5 September 2026

Most well-known customer-service software was built in a market where the customer writes an email and waits a day. Your customer writes on WhatsApp and waits minutes, and buys elsewhere if you are late. So the first criterion is not the feature count but whether the software gathers the channels you actually sell on.

1. Where the company phone stops

Every store starts with one phone running WhatsApp. It works until one of these four happens:

  • Two people need to reply at once, and the app does not allow it.
  • An employee leaves, and the customer history leaves in their phone.
  • You cannot tell how many conversations went unanswered yesterday.
  • You want orders linked to the conversation, and find yourself copying order numbers by hand.

2. What you actually need

Capability Why
Unified inbox WhatsApp, Messenger and Instagram in one screen, with the customer's full history.
Assignment Every conversation has an owner, so none sits with everyone assuming someone else replied.
An unanswered queue The most important screen of the day: open conversations nobody has answered.
Reply-time measurement Time to first reply is what the customer feels, and the number to watch weekly.
Automation for repeated questions So the team does not spend the day on prices, hours and the returns policy.
Permissions An agent does not need to see billing or change settings.
What is most often bought without need: a ticketing system with statuses and escalation tiers. It was built for technical support measured in days, not a shop asked about a shirt size while the customer waits two minutes.

3. One number for the whole team

Moving from a phone to a team needs a number on the WhatsApp Business API. Then the whole team works the same number at once, and the conversation history belongs to the company rather than to an employee's phone. That alone — not the AI — is why most stores move.

That is detailed in the Business app versus API guide, and the inbox itself on the unified inbox page.

4. The order to roll it out

  1. Move the number to the API and connect the other channels.
  2. Add the team and set each person's permissions.
  3. Switch automation on for the repeated questions only, at first.
  4. Watch the unanswered queue daily for two weeks; it reveals the real gap.
  5. Measure time to first reply before and after; without that you cannot tell if anything improved.

Frequently asked

What is a unified inbox?

One screen gathering WhatsApp, Messenger and Instagram conversations, so an agent sees the customer's whole history in one place instead of moving between three apps. That is the first practical difference from working off a company phone.

How many people can work the same number?

On the WhatsApp app: very few, with limits. On the WhatsApp Business API: the whole team on the same number at once, with conversations assigned and measured. That alone is why most stores move to the API.

Do I need a ticketing system?

Most Arabic stores do not. Ticketing was built around email and response times measured in days; your customer writes on WhatsApp and waits minutes. What they actually need is a conversation inbox, assignment and measurement.

How do I measure the team's performance?

By three figures: time to first reply, the number of open conversations with no reply, and each agent's share of them. The first is what the customer feels; the second is what silently loses you orders.
