From the app to a customer record: four steps
- Move the number to the official API
In coexistence mode the number stays on the app and joins the unified inbox, and contacts and recent chats sync on the first day. App or API.
- Import what you have
A CSV from Excel or your old system: one number per row, name and tags beside it. Whoever opted in is tagged so.
- Six tags and three labels
Tags for the conversation (enquiry, order, complaint, serious, low score, closed without reply) and labels for the person (customer, interested, wholesale). More than that, nobody applies. Tags and assignment.
- Let the agent write what it learns
The AI agent applies the labels you allowed, records the order in the thread and in a Google Sheet if you like, and hands what needs a human over, assigned to the right person. The customer record builds itself as work happens.
What is not in the inbox — plainly
Deal stages with an expected value: the "serious" tag says who deserves follow-up, not what the deal is worth. Tasks outside the thread: "call him Tuesday" is a note an agent reads, not a reminder that rings. Reports across channels beyond messaging: visits, calls and contracts are not here. Whoever needs them keeps WhatsApp as a channel and connects their system through the API.

Why is the WhatsApp Business app not enough?

My customers are in Excel — how do I bring them in?

No. An internal note appears in the thread to the team only, in a different colour, and is never sent; tags and labels never reach the customer.
