WhatsApp for schools and parents: one official number instead of groups — circulars by grade, questions by bot, private matters to the office

How a school or nursery runs parent communication on WhatsApp with one official number: circulars on an approved template per grade and bus, the agent answering fees, hours, uniform and holidays, private pupil matters handed to the office, teachers' and parents' numbers protected — and what the bot does not do.

The short answer

With one official school number on the official API: circulars go out on an approved template to each grade or bus label (no group where parents see each other's numbers), the AI agent answers hours, fees, uniform, holidays and the book list from the school's file at any hour, and "why was my son absent?" or anything about one pupil is handed over, assigned to the office or the teacher from the unified inbox, not from their phone. Parents write to one number, the office sees everything, and no teacher gives out their number.

Each kind of message has its tool; a private student matter goes straight to the office

Setup in four steps

  1. One official number for the school

On the official API, not on a phone. The office and authorised teachers answer from the unified inbox on browser and app. App or API.

  2. Register parents with their labels

Import from the enrolment file or a WhatsApp Flow: the parent's number, consent, the grade and bus labels. WhatsApp Flows.

  3. The school file for the agent

Hours, fees, payment methods, uniform, holidays, book lists and branches — and in its instructions: "hand anything about one pupil to the office and do not answer it".

  4. Send circulars by label

A campaign on an approved template to the grade, bus or all labels, from the dashboard or the app. To those who opted in only — without a ban.

What the bot does not do at a school

It states no absence, grade or health matter to any number, gives out no teacher's number, and sends nothing to whoever did not opt in. Private information stays with the office; the bot is a door to it, not a substitute.

Parents are registered with consent and two tags; the agent answers from the school file

Frequently asked questions

1

Why is a WhatsApp group per grade not enough?

Because parents see each other's numbers, whoever writes reaches everyone, a private complaint becomes public, and the teacher runs the group from a personal phone at night. The official number sends to all and receives from each one privately, and the office sees everything.

2

Does the bot answer about a specific pupil?

No. Absence, grades, behaviour and health are private matters handed over, assigned to the office or the teacher from the unified inbox, and the bot states nothing about a pupil to any number. It answers what concerns everyone: hours, fees, uniform, holidays and lists.

3

What does a circular to a parent cost?

A circular is a message the school starts on an approved template, utility category when it concerns an enrolled pupil (a date, a holiday, a payment) at Meta's rate for your country. The parent's reply and any conversation they start are free. Price examples.

4

Does the parent need to opt in?

Yes: the parent's number is recorded with consent to school messages at enrolment or through a WhatsApp Flow, with the grade and bus labels applied. Whoever did not opt in gets no circulars.

5

And the school bus?

A label per bus: "the bus is 15 minutes late" reaches that bus's parents only, on a utility template, within seconds, from the dashboard or the app.
