WhatsApp payment reminders: subscriptions, invoices and instalments
How to remind customers to pay on WhatsApp: wording that stays in the cheaper Utility category, reminder timing, the pay button, what WhatsApp's policy bans such as debt collection, and how your system sends it automatically.

The short answer
A WhatsApp payment reminder is a Utility template that reaches the customer before the due date: their name, the amount, the date, a reference and a pay button. It stays Utility as long as it only informs them about their account, and becomes Marketing, which costs more, once you add a discount, an offer or a push to renew. WhatsApp allows it for reminding your customers of what they owe you for a subscription, an invoice or an instalment on something you sold, and bans debt collection, payday loans and peer-to-peer lending even when licensed. In ArabyBot your system sends it from «Smart Jobs» with one request, with reminders two days before, one day before and one day after if unpaid.

What WhatsApp allows and what it bans
A payment reminder itself is allowed; the question is whose money it is, and why. WhatsApp's business policy bans certain financial activities whatever their licences, and lets you remind your customers of what they owe you.
| Case | Example | On WhatsApp Business |
|---|---|---|
| A subscription to your service | A gym, a school, a nursery, software, an internet package | Allowed |
| An invoice for work you did | Maintenance, a consultation, a clinic visit, a shipment | Allowed |
| An instalment on something you sold | A device or furniture sold on instalments by your shop | Allowed |
| Collecting debts for others | A collection agency chasing another party's debts | Banned |
| Loans and advances | Payday loans, paycheck advances, peer-to-peer lending | Banned even when licensed |
Wording that stays Utility
Meta accepts a reminder as a Utility template, far cheaper than marketing, on two conditions: it concerns the customer's own account, subscription or transaction, and it carries no promotional aim. Add a discount, an offer or a push to renew and the template becomes marketing, and Meta may reclassify it on its own.
| Wording | Category |
|---|---|
| «Ahmed, you have a payment of EGP 750 due on 25 October. Reference: 1043.» | Utility |
| «Reminder: your gym subscription renews on 1 November for SAR 300.» | Utility |
| «Your subscription ends on 1 November! Renew today and save SAR 50.» | Marketing: an offer and a renewal push |
| «Pay your instalment before 25 October and get 10% off your next purchase.» | Marketing: a discount inside the reminder |
Write the reminder as polite news, not a warning: no threat to cut the service in the first message, no «last chance» or «immediately». A customer who forgot pays when you remind them kindly and make paying easy.
When the reminder arrives
| Timing | Purpose |
|---|---|
| Two days before the due date | Enough time for the customer to arrange the money |
| One day before | A short reminder with the pay button |
| One day after, if unpaid | A gentle check before any other step |
You change these times as you like, in minutes, hours or days before or after the date, and set «Quiet hours» with no reminders; a reminder that falls in them waits until they end, in the customer's time.
The pay button
The button takes the amount from your system with every request, so it is never fixed in the template. It works one of three ways: a link to any payment gateway you use, Paymob, or manual transfer instructions such as your account or wallet number with a request for the transfer photo. When the customer taps and tells you they paid, your system hears «said they paid»; that is their word, not the bank's, so you match it against your account and your system cancels the run, which stops the remaining reminders.
The steps in ArabyBot
- Create the job
In «Smart Jobs» press «Create a new job» and pick «Installment / Payment Due» or «Subscription Renewal»; the message, buttons and reminders are written for you.
- Check the text and the button
Pick the sending WhatsApp number and the payment method, and watch the marketing-words warning under the text; the category is locked to Utility.
- Submit the template and test it
Press «Submit Utility template to Meta», and once approved try it with «Test send» to your own number.
- Connect it to your system
For each due date your system sends one request with the customer's number, the amount, the date and your own reference, so the same due date is never sent twice. Details in WhatsApp notices from your system.
Frequently asked questions
Is it allowed to remind a customer of an instalment on WhatsApp?
Yes, if the instalment is the price of something you sold or a service you provided to your customer. Collecting debts for others, payday loans and paycheck advances, and peer-to-peer lending are banned on WhatsApp Business whatever your licence.
Do I need the customer's consent before sending a reminder?
Yes; WhatsApp requires that the customer gave you their number and agreed to hear from you on it, such as a consent box at sign-up or in the contract. If they ask you to stop, the job no longer reaches them.
Why was my reminder template classed as marketing?
Because it carried something beyond the account news: an early-payment discount, an offer, or «renew now and save». Remove it, keep the name, amount, date and how to pay, then submit it again. WhatsApp template approval.
Does the reminder stop by itself when the customer pays?
If the customer taps the pay button and says they paid, your system hears «said they paid»; you check the money has arrived on your side, then your system cancels the run with one request and the remaining reminders stop.
What does a reminder cost?
The Utility template rate in the customer's country, one of the cheapest WhatsApp categories, and a template delivered while the customer is inside the 24-hour window is free. WhatsApp API pricing.
