How do I set up the ArabyBot AI agent to answer my customers?

The short answer

The agent is created in the “AI Hub” through a five-step wizard: identity, model, behaviour, capabilities and deployment. You write its instructions or generate them with “Build the prompt”, pick its dialect, link your knowledge, then deploy it on a Facebook page, Instagram account, WhatsApp number or website chat. Each reply uses one message from your plan or bought messages, unless you use your own provider key.

The steps in the ArabyBot dashboard

  1. Start a new agent

    In the sidebar of the app.arabybot.com dashboard open the “AI Hub” and press “New agent”, or “Create your first agent” if you have none. Only the account owner can save agent settings.

  2. Identity

    Enter the agent’s name, pick the business type so the agent follows that trade’s playbook, and make sure the status is “Active”.

  3. The AI model

    Choose “Global API”, fully managed and running on your plan’s messages, or connect your own provider key if you want to tune the settings yourself.

  4. Behaviour

    Write the system prompt, or press “Build the prompt” to generate it in four steps: the agent’s job, business type, details and style. Then choose the reply dialect and the tone.

  5. Capabilities

    Optional: link knowledge bases, switch on what you need such as image understanding, voice notes and rich replies, and set the handoff to a person and working hours under “Fallback”.

  6. Deploy and test

    In “Deploy” pick what the agent answers from the Facebook, Instagram, WhatsApp and “Website chat” tabs, then “Finish”. Try it before your customers do with the “Test” button on its card or the Playground.

What you should know

  • On “Global API”, every AI reply on any connected channel uses one message: from the plan’s monthly messages first, then from messages you bought. With your own key your provider bills you and no messages are used. Pricing and plans.
  • Each page or number has one active agent, and one agent can work on several pages and numbers.
  • When someone on your team replies to a customer, the agent stays silent in that conversation for 15 minutes by default; change it under “When a person replies”.
  • The Playground runs the agent’s tools for real (Google Sheets, for example); only order creation and handoff to a person are held back there.
  • Questions the agent could not answer are collected under “Questions needing an answer”; what you answer there is saved to the knowledge base and the agent uses it from then on.

Do I need my own AI API key?

No. “Global API” runs on your plan’s messages, and when they run out the AI Hub offers “Buy messages”. Your own key is optional, for those who want their provider to bill them directly.

Why is the agent not replying to my customers?

Check that its status is “Active”, that it is deployed on that page or number, and that you have messages left. Then open “Missed” in the AI Hub: it lists every message the agent did not answer, with the reason.
