The short answer

In the “Knowledge sources” section of the “AI Hub” you add what the agent knows in three ways: “Crawl a website” reads your site from its sitemap, “Upload a file” takes Word, PDF, Excel or plain text, and “FAQ” holds questions and answers you write yourself. You then link the source to the agent with “Link to the bot”. Every account has 300 free knowledge pages for life.

The steps in the ArabyBot dashboard

  1. Open Knowledge sources

    Open the “AI Hub” from the sidebar and scroll to the “Knowledge sources” section; your free-page counter sits above the list of sources.

  2. Add your website

    Press “Crawl a website” and enter your site’s address. It analyses the sitemap and pages and extracts products with prices and photos, articles and FAQs. Leave “Auto-resync” on to re-read it weekly, or pick another interval.

  3. Upload your files

    Press “Upload a file”. A plain-text (.txt) or Word file is best because it is read exactly as written. A PDF works if its text can be selected and copied; a scanned one is read with AI, but less accurately.

  4. Write questions and answers

    Press “FAQ” and add the question-and-answer pairs your business is asked most, such as prices, delivery and returns.

  5. Link the source to the agent

    When the source’s status is ready, pick the agent beside it and press “Link to the bot”, or switch it on inside the agent under “Capabilities” → “Knowledge bases”. An unlinked source is not read by the agent.

  6. Fill the gaps

    Review “Questions needing an answer”, write the answer and press “Save to the knowledge base”. You can also send a new fact from your verified number through “Control from WhatsApp”.

What you should know

  • Every account gets 300 free knowledge pages for life, a page being up to 3,000 characters; websites, files, answers and automatic re-reads all count toward them.
  • After the free pages, one message is taken from your balance for every 4 pages, and your last 50 messages are always kept for customer replies. If the balance is short, a crawl pauses and resumes on its own once it is enough.
  • A knowledge base built with your own provider key is not counted, because the cost falls on your key.
  • A crawl reads up to 5,000 pages per website, and accepted files include Word, Excel, PDF, CSV, JSON, HTML and plain text.

Can I teach the agent a fact from WhatsApp?

Yes, with “Control from WhatsApp” in the AI Hub: register one verified number, then send prices, facts or instructions from it to the agent’s WhatsApp number, so the agent must be on a WhatsApp number. Each control message counts as one message from your balance.

I uploaded a file but the agent does not use it. Why?

Check that the source is ready and linked to the agent that answers that page or number. If it is a scanned PDF, try a Word or plain-text version of the same content.
