What is the difference between regular WhatsApp and WhatsApp Business?

Regular WhatsApp is an app for personal chats; WhatsApp Business is a free app for small shops that adds a business profile, a product catalog, automatic greeting and away messages, quick replies and chat labels. Above both sits the WhatsApp Business Platform (the API), which is not an app but an interface connecting your number to a platform where a team and a bot work.

The message reaches the customer looking much the same in all three cases, so the difference is not the message but what surrounds it: who replies, how many people can, and what happens without anyone typing. The table puts the three side by side:

What does the WhatsApp Business app add for a shop?

The WhatsApp Business app adds what a shop that sells and answers customers needs: a business profile showing address, hours and website, a product catalog, a greeting and an away message sent automatically, ready quick replies, labels to sort chats, and linking the account to several devices so more than one person can answer.

  • Away message. Replies by itself when you are closed or busy, on a schedule you choose.
  • Quick replies. Up to fifty saved replies you call up with a shortcut instead of typing the same answer each time.
  • Labels. «New order», «paid», «awaiting shipping» — to sort chats and find them quickly.

Is WhatsApp Business free?

Yes. WhatsApp describes the Business app in both app stores as free to download and use, with optional paid extras: the Meta Verified subscription for the badge, support and more devices, ads that open a WhatsApp chat, and paid business broadcasts where offered. Per-message fees belong to the WhatsApp Business Platform (the API).

The main paid item in the app is the optional Meta Verified subscription. WhatsApp's page on it says it gives a verified badge meaning Meta has verified your business account, a web page for your business on WhatsApp with its own link, prioritised in-app support, and more linked devices with chats assigned to sales agents. It is not offered in every country yet, so look for it in the app's settings before you plan around it.

This explains the common confusion behind «does WhatsApp Business cost money?». The name covers two things: the free app you install on your phone, and the platform on the API, where you pay Meta for the template messages you start and pay a subscription to the platform you run it from. How do you move your number from regular WhatsApp to WhatsApp Business without losing chats?

Install the WhatsApp Business app on the same phone; it recognises the number used in regular WhatsApp and offers to move it with the chats and media, or you restore a backup during set-up. Take a backup before you start, and know that after the move the number works on the Business app only.

  2. Update and install

    Update regular WhatsApp to the latest version, then install WhatsApp Business from the app store.

  3. Pick your number and move the chats

    The app shows the number used in regular WhatsApp; pick it, then «Continue» and «Allow» so the Business app can reach your chat history and media. If it is not offered, restore the backup during set-up.

  4. Complete the business profile

    Name, category, address, hours and website, then the greeting, away message and quick replies.

  5. Decide about your personal number

    One number runs on one app. If you want personal WhatsApp beside the shop, use a second number; the two apps run together on the same phone with two different numbers.

Before you move

Think about the number your customers know. If your personal number has been the shop's number for years, moving it to the Business app keeps customers on the number they saved, but puts family chats in the business app. Many shop owners take a second number for family and keep the old one for the shop. Regular WhatsApp or WhatsApp Business: which suits your shop?

If customers message you about your shop, the WhatsApp Business app is the better fit: it is as free as the regular app and adds what saves your time — a profile that answers the address and hours before anyone asks, a catalog, and ready replies. Keep regular WhatsApp for your personal life, ideally on a separate number.

The rule holds for most cases: a craftsperson or freelancer with a handful of orders is well served by the Business app from day one; a shop where the owner answers with one or two staff is served by the app plus linked devices; a shop where chats pile up until staff fight over one phone, or replies lag at night, has outgrown the app — the subject of the next section. We see no reason regular WhatsApp would suit a selling shop better, unless the number is shared with the family.

When is WhatsApp Business not enough, so you need the API?

The WhatsApp Business app is enough until you need one of four things: a team bigger than linked devices allow, or chats assigned among staff; a bot that understands the question and takes the order; campaigns that reach people who have not saved your number; or automatic order confirmation from your store. That is when you move to the WhatsApp Business Platform (the API).

  • The team. Five devices do not make a shared inbox where each agent owns their chats and the manager sees who answered whom. One number for many agents.

  • Campaigns. A broadcast list in the app reaches only people who saved your number; approved templates on the API reach whoever agreed to receive messages.
  • The store. Order confirmation and shipping messages go out by themselves from your store on the API; the app does not do this.

Moving does not have to mean leaving the app: with Meta's coexistence mode your number keeps working in the WhatsApp Business app on your phone and on the API in the platform at the same time. Do WhatsApp's October 2026 prices change anything for WhatsApp Business?

Not in the app; yes on the API. From 1 October 2026 Meta bills, on the WhatsApp Business Platform, for service messages — your replies to a customer who wrote to you — past the first 1,000 per number a month. Your chats in the free WhatsApp Business app are not part of that count.

This is the source of much confusion: headlines say «WhatsApp Business is paid now» and a shop owner assumes the app will start charging. The app stays as it is; the change concerns whoever works through the API, and someone replying to fewer than 1,000 messages a month from one number will notice nothing.
