WhatsApp auto-reply: the three ways, and which one fits

"WhatsApp auto-reply" is three different things under one name, and they differ widely in what they can do and what they cost. Most people searching for the first need the third, and do not know it exists.

The limit that surprises people: the second and third both need a number on the WhatsApp Business API. Neither WhatsApp app — ordinary or Business — lets software reply on your behalf, and anything promising that ends with your number banned.

2. Where the away message stops

It is the fastest thing to switch on and the least you can expect from it. It sends the same text to everyone: the one asking a price, the one complaining about a late order, and the one wanting to cancel. All three messages then sit waiting for you unchanged.

It is entirely enough when your goal is that the customer knows you will reply in the morning. It is not enough when your goal is not to lose them before morning.

3. When keyword rules are enough

A rule fits what is finite and known: a menu of buttons, an answer to "1" and "2", a single word like "address". It stops when the customer writes in their own words, which is what they usually do:

  • Three phrasings of one question, none of which is the word you wrote.
  • Latin-letter writing: "bekam" does not match the Arabic word.
  • A misspelling — the most common thing in typing from a phone.

That is why AI has become the practical layer: it understands all three phrasings without your writing any of them.

4. Switching on AI replies

  1. Connect your number on the WhatsApp Business API — minutes through Meta's embedded signup.
  2. Give it what it knows: your prices, shipping and returns policies, the questions customers repeat. This decides quality more than any setting.
  3. Set working hours: who answers by day and who by night.
  4. Set the human handover — and when the bot pauses because a person joined the conversation.
  5. Review weekly the questions it could not answer; each is a missing line in what it knows.

5. The mistake that spoils an auto-reply

The bot and a person both replying. When an employee opens the conversation in Meta's own app or in the platform and types, and the bot keeps answering, the customer sees two contradictory voices. The bot should pause the moment a human types and resume when the conversation ends — and that is behaviour to test yourself before trusting it.
